St. Malachy Athletic Committee Meeting Date: March 26, 2006 Time: 6:30pm Location: St. Malachy Parish Center Conference Room Attendees: Scott Hanny, Randy Schmidt, Angie Sturm, Clay Courtney, Teri Miller, Bryon Meunier, Jackie Arnoldy, Father Peter Gallagher Minutes: 1. Athletic Committee Prayer—Led by Teri 2. Father Peter needed to leave early so he first brought up a few issues. A. He thanked the members of the committee for their work throughout the year. B. He encouraged the committee to meet on a different evening as the parish feels it is important to keep Sunday open for family time. C. He talked about the need to foster the habit of prayer and stated thatit is an expectation that there would be prayer before and after all CYO practices and games. He stated that the focus should be on the fact that our athletic abilities are a gift from God. He said that he would be happy to come to the coordinator’s meeting to express this expectation. There was discussion that kids can lead the prayer and Angie suggested having the team parent involved. D. He asked about the Athletic Committee Handbook and Angie set a goal to have the handbook completed by the beginning of the next school year. E. He stated that all sports coordinators and coaches must be certified by Virtus training. A class will be offered at St. Malachy in April. If they can’t make it to that training they will need to go to another parish for the training. Check the Virtus website for locations and dates. F. He stated that the art teacher is preparing faith symbol ideas for the gym. The plan is to have a symbol on one side of the gym and a scripture reading on the other. 3. Winter Sports Update—One of the 4th grade volleyball teams won the city tournament. In wrestling 3 kids placed in the city tournament. 4. Spring sports update— A. 34 kids are registered for track. Angie will check with Mark Kramer to see if any supplies are needed. B. 81 kids are registered for soccer. Randy has ordered new uniforms for the 8th graders. Cost was between $450-$500. Games will now begin at 5:30. 7th grade has no designated coach but parents will step up. C. 11 kids are signed up for baseball. Mark Conway is coach. Fee is $110. D. There are 4 spring kickball teams. 1 cadet team; two 5th and 6th grade teams; and one 4th grade team. All have uniforms. 5. Concession Stand Update-- Teri has tried to thin the inventory since the winter sports are over. The Altar society bought most of the leftovers. Knights of Columbus are using pop for the Friday fish fries. Teri has about $500 in petty cash and $100 in cash box. She generally keeps it to start out the fall. She will email Clay with more exact amounts. Angie suggested having the coke machine maintenanced. 6. Financial Update-- Clay had a budget print out for review. He has paid the outstanding volleyball debts. We still have an outstanding soccer bill. He will check with Lynda Bell about that. The concession stand income and expenses were questioned as there was not much profit this year. Clay will look at this in further detail. We may need to look at raising prices next year. The annual budget will be reviewed by the committee in April and turned into the parish in May. Clay will call the sports coordinators over the next month to prepare the budget. 7. M’s for the gala-- Teri stated that there are about 20 M’s left over from previous years. We will need to order more as there are 50 or 60 kids eligible for M’s this year. Teri will be determining eligibility. 8. Donation to Green and White Gala-- There was discussion as to whether the athletic committee should donate funds to the Green and White Gala. Because it had not been budgeted for this year the decision was to not make a donation this year but look at raising fees for the sports to possibly put it into the budget next year. 9. Fall Sign ups-- We will need to set up the fee structure for the fall sports next month. Known expenses for next year will include new soccer nets and mats around the basketball goals. 10. Walk ins-- A. The Knights of Columbus would like the Athletic Committee to donate desserts for the fish fry on April 7th. B. The snow plow ripped up part of the football field when plowing. Angie will talk to Vic Osecki about fixing the field. C. Bryon mentioned that the janitors had moved out of their office in the gym and suggested we could possibly use it for storage. Angie will talk to Mary Sullivan about getting it. D. Possible nominations for the Mark Kramer award were discussed. Names brought up were Terri Sangl, Mark Best, and Paul Whalen. Angie will talk to Mary Murphy about who actually purchases the award. E. Scott suggested reusing volleyball shirts for more than one year. F. Teri suggested adding a spot for parents to put their email addresses on all registration forms. G. Angie expressed concern about our teams not being competitive enough. Clay suggested building a relationship with Ritter coaches to create a feeder program. H. The group discussed possibly moving the committee meeting to another night but felt with everyone’s busy schedules Sunday would be the night that most could attend. 11. Future Agenda Items--- 1. Possible Scholar/Athlete award. 2. Possibility of purchasing a medallion for the points award. 3. Penalty for teams not covering the concession stand. 4. Possible purchase of cheese machine before next football season. 5. Possible need to raise prices in concession stand. 6. Charging more for sports to donate to Gala. 7. Completion of Athletic Handbook. 8. Decision whether or not to start charging admission to football games. 9. Decide on nominee for Mark Kramer award. Next meeting will be held on April 30 at 6:30pm in the Parish Conference Room.
