St. Malachy Athletic Committee Meeting September 27, 2009 7:00 p.m. Parish Conference Center Attendees: Tom O’Leary, Barb Hiskes, Kevin Rollings, Kevin Thomas, David Bratton, Kathy Walton, Sister Barbara The previous meeting minutes were approved. Associates Report Sister Barbara to follow up in our system to get our current status of background checks for those involved with our students. If we need updated background checks on anyone, we’ll get permission first. We are in good shape on Virtus training. Gym Manager Reminder that gym was left open after a practice. Tom O’Leary reminded everyone to double check all doors before leaving. Athletic committee schedule for Girls basketball was set and an athletic committee member will cover all home basketball dates. Calendar of Events The ministry fair weekend is at St. Malachy on October 31/November 1st. The athletic committee will have an unattended display at the fair. The signage for the athletic committee is believed to be in the upstairs storage room. Concessions Tom O’Leary is compiling a list of dates for open concessions for the purpose of determining if we are required by the State of Indiana to collect sales tax on our concession sales. If the stand is open for more than 30 dates in a calendar year, we are required to collect and remit sales tax. Registrar’s Report All fall sports are closed out with all information collected. Girls basketball needs one physical from one girl and all information from another girl; all other information collected. Boys basketball has 45 boys currently signed up. Fall Sports Updates- Football: One of our 3rd grade parents was caught video recording an upcoming opponent’s football game. Parent has been notified that this is not allowed. The recording was not used in any way to our advantage. There are 20 – 25 helmets that we want to get rid of. St. Susanna would like them. Donation approved. Kickball: Our 4th grade team is in the City tournament semi-finals at Little Flower tomorrow night. Our 5/6 B team is in the City tournament finals at Little Flower tomorrow night. A new Kickball coordinator is needed. Girls’ Basketball 58 girls (9-4th; 23-5/6; 26-Cadets) are signed up on 7 teams for this season (down from 64 in 2008). New uniforms are in; all ok except lettering on youth sizes is too small; Kathy Walton working to get that resolved. Cheerleading A few cheerleading uniforms ended up in the 8th grade rummage sale. All but 1 (and possibly all) uniforms have been recovered and returned to the program. Future sales of any uniforms will be determined and approved by the Athletic Committee. Cross Country 4th/5th/6th team is doing very well; most recent meet placed 1,2,3,4,13th. Teams are performing well at all levels. Father Joe has Ok’d our pursuit of next year’s city meet to potentially be held at the new church site. The meet could have up to 600 participants. High School Volleyball All going well. Winter Sports Updates- Boys’ Basketball 5/6 and Cadet evaluations to be held on October 13th at Noll Hall. 4th grade evaluations to be determined. Volleyball Nothing to report. Wrestling Bryon Meunier will remain coordinator; Chris Kaiser is the coach. The issue of our need to clean the mats after all use (practice and meets) needs to be addressed. This is a very labor intensive process that could add much time to practices and meets. Virtus Report All is OK. Website Report Kevin Thomas’ employee is working on re-formatting our athletic website. Board Items Treasurer’s Report All Ok; Scott distributed the report. On track to spend all uniform money budgeted. Surveys It’s not time yet to send the surveys and Kevin Thomas will need the database of sports parents to send surveys. Other Kathy Walton has the list of uniforms distributed and all is under control. Equipment room cleanup is underway. Kevin Rollings working with Mike Hall to remove the metal cages in the room so that we can work on the layout of the room for future storage. New Business The Athletic Committee decided against retaining a sports photographer to capture team and individual participants. Kevin Rollings brought up the topic of getting commitment from our sports participants to address the issue of students who participate in many activities and don’t make our CYO programs a priority. He suggested adding a statement to the registration forms. The committee will take this up at a future meeting. Next Meeting: The next meeting will by Sunday October 25th at 7:00 pm at the parish conference room.
